ACTIVITY

STANDARD OF SERVICE

TENANT RELATIONS

  • EHPM liaises between owners and tenants; including but not limited to handling tenant requests and negotiations, terminating tenancies, signing and serving appropriate notices, collecting rents and other monies due to the Association. Review Condo Docs with tenants for compliance with Condo Rules and Regulations.

PROPERTY INSPECTIONS

  • Vacant properties - inspections once per week.
  • Prior to “move in” - detailed inspection (including but not limited to photographs) to record the condition of the property.
  • During occupancy - periodic inspections, typically once per quarter.
  • Post occupancy - detailed inspection after “move out” to ensure that the property is returned to a condition comparable to the before “move in” condition (taking into consideration normal wear & tear). A claim will be made on tenant’s security deposit if there are damages to the property, if there is no damage then the security deposit will be returned.

INITIATING AND PROSECUTING EVICTION ACTIONS

  • Eviction process initiated on 7th day of delinquency.

INITIATING AND PROSECUTING DAMAGES ACTIONS

  • Initiated along with eviction process if property is damaged.

ACCOUNTING

  • Monthly income and expenditure statements.
  • Year end summary statements.
  • Annual 1099 tax statements.
  • Annual budget for property maintenance.

PROPERTY REPAIRS & MAINTENANCE

  • Repairs for the safety of occupants.
  • Repairs for compliance with federal, state and county laws.
  • Repairs for compliance with Condominium/HOA Rules.
  • Emergency repairs.
  • Repairs to improve “showing” of property.
  • Routine repairs and maintenance to preserve the value of the property.
  • Contracts on owner’s behalf for utilities and public services.

RENT COLLECTION

  • Rental payments are due on the 1st of each month
  • Payments made after the 5th of the month incur a late fee.
  • NSF – a fee will be charged for all returned checks.

DELINQUENCIES

  • 3rd of the month – tenant contacted via telephone.
  • 5th of the month - late payment notice to tenant.
  • 7th of the month - initiation of eviction process (3 day notice served).

RENTING OF PROPERTY

  • Advertising as agreed (i.e. listing on the MLS, Property Managers website, and other websites); may include newspaper and or magazine ads.).
  • Showing of property to prospective tenants.
  • Screening of all adult applicants over 18 years.
  • Preparing and executing lease agreements/contracts.
  • Coordinating Condo/HOA residency application for prospective tenants.
  • Complete and sign lead base paint/hazard certification on behalf of owner.

LEASE RENEWALS

  • Renewal process initiated 60 days prior to expiration of lease.
